WorkSite Pro Privacy Policy

This privacy policy applies specifically to WorkSite Pro, our field service management application. It supplements our general Privacy Policy.

1. App Overview

WorkSite Pro is a field-service business operating system that helps contractors manage jobs, clients, estimates, invoices, and workforce coordination. The app is designed with offline-first functionality and privacy in mind.

2. Account Information

To use WorkSite Pro, you must create an account. We collect:

  • Email address - Used for login and notifications
  • Name - Your first and last name for identification within your company
  • Phone number (optional) - For SMS notifications and features
  • Company information - Business name and details when creating or joining a company

3. Business Data You Create

You create and control all business data in WorkSite Pro, including:

  • Client information - Names, addresses, phone numbers, email addresses
  • Job details - Job descriptions, addresses, status, notes
  • Financial records - Estimates, invoices, line items, payment records
  • Staff assignments - Which staff members are assigned to which jobs
  • Schedules - Appointment times and calendar data
  • Materials - Your materials catalog and pricing

Important: This data is stored securely on our servers and is encrypted in transit and at rest. Access is restricted to authorized personnel only for support and maintenance purposes.

4. Multi-Tenant Data Isolation

WorkSite Pro uses a multi-tenant architecture. Each company's data is logically isolated from other companies. Staff members can only access data belonging to their company, and their access level is determined by their role (Owner, Manager, or Tech).

Tech Limited to their own assigned jobs; cannot view other techs' data or company-wide reports

6. Offline Functionality

WorkSite Pro is designed to work offline. When you create or modify data without an internet connection, changes are stored locally on your device and synchronized with our servers when connectivity is restored.

Offline-capable data may be stored locally on your device using the app's local database and secure device storage features where appropriate. Local device data is protected primarily by your device's operating-system security and the app's access controls. We cannot access data that has not been transmitted to the hosted service.

7. Push Notifications

WorkSite Pro uses push notifications to keep you informed about important events. We use Expo Application Services (EAS) to deliver push notifications to your device.

What We Collect for Push Notifications

  • Push Token - A unique identifier for your device used to deliver notifications
  • Notification Preferences - Your settings for which notifications you want to receive

How Push Notifications Are Used

  • Job assignment notifications
  • Schedule reminders
  • Invoice and estimate updates
  • Client communication alerts
  • System announcements

Push tokens are stored securely and are used solely for delivering notifications. You can disable push notifications in your device settings or within the app settings.

8. Diagnostics and Usage Data

The current WorkSite Pro mobile application does not use Firebase Analytics. We may process limited operational diagnostics, app/version information, and error information when needed to operate, secure, and troubleshoot the connected service. We do not use this data for third-party advertising.

If we add a new analytics or crash-reporting provider in a future release, this policy and the applicable app-store privacy disclosures will be updated before that collection is enabled.

9. SMS Notifications

SMS functionality is not part of the current connected-beta release path. If SMS features are enabled in a future release, WorkSite Pro may send text messages to:

  • Your clients (e.g., "Technician is on the way")
  • Your staff members (e.g., job assignment notifications)

Message content is limited to necessary business information. Phone numbers are used only for these notifications and are not shared with third parties for marketing purposes.

10. Third-Party Services

WorkSite Pro currently relies on or may transmit data through the following categories of service providers when the related feature is used:

  • Railway / hosted PostgreSQL infrastructure — API hosting, application operation, and connected business-data storage.
  • Expo services — application build/update infrastructure and push-notification delivery.
  • Transactional email provider — delivery of account, invitation, password-reset, invoice, and other service messages.
  • Horizon Feedback API — user-submitted feedback and explicitly allow-listed diagnostic metadata when you choose to send feedback.

Stripe and Twilio libraries exist in the backend codebase for optional/future payment and SMS capabilities, but those integrations should not be treated as active data-sharing paths unless the corresponding feature is enabled and disclosed in the product at that time.

11. Data Retention

Your data is retained as long as your account is active. Upon account deletion:

  • Account and personal data will be deleted or de-identified within a reasonable period after a valid deletion request, subject to security, fraud-prevention, backup-rotation, legal, tax, accounting, and dispute-resolution requirements.
  • Business records may need to be retained by the business account owner to satisfy legal or accounting obligations; deletion of a user account does not automatically override those obligations.
  • Push tokens are invalidated or removed when no longer needed.
  • Protected backups may retain deleted information temporarily until the applicable backup cycle expires.

12. Data Export

You can export your data at any time. Contact support or use the export feature within the app to receive a complete copy of your data in a standard format.

13. Security Measures

  • HTTPS/TLS for network transport
  • Hashed passwords and authenticated session/token controls
  • Tenant and role-based authorization boundaries
  • Rate limiting, security headers, audit logging, and restricted platform-administration paths
  • Provider and application safeguards for hosted databases and backups

No security system is perfect. We review and improve safeguards as the product changes, but we do not guarantee that unauthorized access or data loss can never occur.

14. Your Rights

You have the right to:

  • Access - Request a copy of your personal data
  • Correction - Request correction of inaccurate data
  • Deletion - Request deletion of your data
  • Export - Export your data in a portable format
  • Opt-out - Disable analytics collection
